APS 4 Executive Assistant

  • 12 month contract from commencement with scope for extension
  • Symonston, ACT office (relocating to Fairbairn, ACT)
  • No Federal Government Security Clearance required

Overview
The Executive Assistant (EA) role is crucial to the efficient functioning of the branch, particularly noting this is a large a diverse branch of over 100 staff. The successful candidate will be supporting the Assistant Secretary (AS) with the day to day EA activities which may include:
  

  • Provide executive support which could include diary and travel management, meeting coordination, coordination of workflow in and out of the AS Office, and preparation and coordination of materials for meetings
  • Provide administrative and financial management support to the Branch, which could include accounts payable, procurement, budget development, monitoring of expenditure and travel arrangements
  • Manage and coordinate Branch reporting and maintain files and records in accordance with the record management policies and procedures
  • Assist in the review and implementation of business processes and improvement to work practices and procedures within the AS’s office
  • Provide secretariat support for team meetings through minute taking and the compilation and distribution of publications and agenda papers arrange meetings, make appointments and attend to enquiries
  • Undertake research tasks and prepare written material

  
The Must Haves

  • Demonstrated experience working within a busy administration, coordination or executive assistant position
  • Sound judgment, attention to detail and organisational skills and ability to take responsibility for work, prioritising tasks and producing quality outputs to meet tight deadlines
  • Proven ability to produce work requiring little or no revision before finalisation.
  • Maintains a flexible attitude, understanding that priorities may change without notice and able to focus on new priorities in accordance with the strategic direction
  • Proficiency in Microsoft Word, Outlook, PowerPoint, Excel and Adobe Acrobat
  • Experience in, or ability to quickly acquire skills with SAP, TRIM and GovTeams

  
This opportunity is within the Australian Public Service.  In order to be considered, please note that candidates must be an Australian Citizen at time of application.
  
The successful candidate will be available to work for the contract period, with the ability to obtain a National Police Check.
